๐Ÿ’ก These terms apply to anyone registering for the 14th Rotary District 2452 Conference ("the Conference"), organised by the 14th Rotary District 2452 Conference Committee ("the Organiser"). By registering you confirm you have read and accepted them.

1. Registration & Payment

1.1 Eligibility

The Conference is open to Rotarians, Rotaractors, Interactors, and invited guests. Self-declared membership type is recorded at registration and may be verified against Rotary International / district rosters.

1.2 Deposit and final fee

An early-bird registration deposit of โ‚ฌ100 (or $100 / equivalent) secures your seat at the early-bird ticket rate. This deposit is credited toward the total registration fee. The remaining balance is settled before the Conference.

1.3 Early-bird deposit โ€” refund policy

The โ‚ฌ100 / $100 early-bird deposit is non-transferable (it cannot be applied to another delegate, a different Rotary event, or a future District conference) and is generally non-refundable once paid.

Force-majeure exception (until 31 January 2027): If the Organiser cancels the Conference before 31 January 2027 due to circumstances beyond reasonable control โ€” for example, the security situation in Lebanon, a public-health restriction, or other force-majeure events โ€” the early-bird deposit will be returned, less any expenses already committed by that date. The Conference Committee commits to keeping pre-event spending to a minimum until early-bird closes, so the refund pool stays as whole as possible.

The Organiser may also make exceptions on a case-by-case basis in documented cases of medical emergency.

2. Privacy & Personal Data (GDPR)

2.1 What we collect

We collect the personal information you provide at registration: full name, email address, mobile phone number, Rotary club, country, dietary or accessibility requirements, and payment details. We may also link your record to publicly available Rotary International officer / member data.

Your personal data will NOT be sold, traded, or shared with third parties except where strictly necessary for the operation of the Conference. The limited cases where we share data are:

All third parties handling your data are bound by confidentiality and shall only use it for the purpose stated.

2.4 Retention

We retain your registration data for a minimum of seven (7) years after the Conference for audit, financial, and Rotary International reporting purposes. Beyond that period, data is securely archived or deleted unless you have separately opted in to receive future District 2452 communications.

2.6 Security

Data is stored on secure servers operated by our hosting provider. Access is limited to authorised members of the Conference team. We use industry-standard practices to protect against unauthorised access, loss, or alteration.

3. Photography & Video Recording

3.1 Consent

The Conference will be photographed and video-recorded for promotional, educational, and reporting purposes. By accepting this clause at registration you grant the Organiser permission to use images and footage in which you appear, including (but not limited to):

Images and footage will not be sold or licensed to third-party commercial entities without your separate written consent.

3.3 Removal requests

If you would prefer not to be photographed, please inform the registration desk on arrival and you will be given a discreet indicator (e.g. a coloured lanyard) so our photographers can avoid you. If a specific image of you is published and you wish it removed, contact info@d2452conference.com and we will remove it from materials we control as soon as practicable.

4. Code of Conduct

The Conference is committed to providing a safe, respectful, and welcoming experience for all attendees, regardless of gender, age, sexual orientation, disability, ethnicity, religion, nationality, or any other personal characteristic.

Unacceptable behaviour includes harassment, discrimination, intimidation, or any conduct that violates Rotary International's Code of Conduct. The Organiser reserves the right to remove any participant whose behaviour is deemed inappropriate, without refund.

5. Liability & Insurance

The Organiser maintains liability insurance for Conference activities as required by Rotary International. Attendees are responsible for their own travel insurance, medical insurance, and personal property. The Organiser is not liable for personal injury, loss, or damage to property except where caused by its proven negligence.

6. Force Majeure

The Organiser reserves the right to postpone, relocate, or restructure the Conference (including a shift to a hybrid or virtual format) in response to force-majeure events: pandemic, civil unrest, natural disaster, regulatory restriction, or any other event beyond reasonable control.

If the Conference is cancelled before 31 January 2027 due to such circumstances, the early-bird โ‚ฌ100 / $100 deposit is handled as described in Section 1.3 above (refund to registrant, or donation to The Rotary Foundation โ€” PolioPlus, at the registrant's choice).

7. Changes to these Terms

The Organiser may update these Terms from time to time. The current version is shown at the top of this page. Material changes will be communicated to registered attendees by email.
